About the job

Eurocarers is seeking a structured, detail-oriented, and motivated Event, Research and Admin Assistant to join our Brussels-based, international Secretariat. The successful candidate will provide vital support by bridging the gap between research assistance and the strict administrative, financial, and reporting compliance demanded by EU funding frameworks.

Key Responsibilities

  • Contact mapping and relations management: Supporting in monitoring relevant contacts and updating our engagement database, linked to different project-related tasks.
  • Events organisation: Supporting as an administrative point of contact for the Secretariat when organising project-related events, meetings, workshops, and multi-stakeholder research forums, and drafting minutes/event reports.
  • Project admin: Supporting with financial and project documentation, scanning and filing invoices, tracking reimbursements and internal deadlines, supporting in collating required evidence for reporting purposes, coordinating the collection, verification, and archiving of project timesheets, and travel logs in strict compliance with EU auditing standards and ensuring strict adherence to EU grant agreements.
  • Research and scientific support: Assisting in conducting literature reviews, assisting with qualitative/quantitative data collection among our European network, project consortia, and other stakeholders, as needed.
  • Policy, research and comms support: Assisting with contributions to project deliverables, policy briefs, training curriculum, website platforms, social media messages, and other project-related tasks.

Person Specification

Essential
  • Upper secondary education (Enseignement Secondaire Supérieur) or relevant work experience.
  • Strong organisational skills with a proven ability to research, deliver on tasks, meet deadlines, communicate any doubts or questions, while applying a service-oriented attitude.
  • Proficient written and verbal communication skills in English (knowledge of additional languages are an advantage).
  • Familiarity with or a nuanced understanding of care and caring issues.
  • Able to work independently as well as in a team.
  • Applies a service-oriented approach.
  • Ability to carry out tasks in line with defined scope and timeline, ideally with tangible evidence of previous accomplishments.
  • Computer skills and experience in working with Microsoft Office software.
  • Ability to work effectively within an intercultural, multi-partner team and network.
Desirable
  • Ideally, previous experience working within EU-funded projects, with specific, demonstrable exposure to Horizon Europe (or Horizon 2020) administrative and reporting rules.
  • Ability to synthesise complex information into clear, persuasive messages in written English.
  • Able to work in temporary conditions of high time pressure and workload.
  • Talent for creative problem-solving.
  • Presentation, facilitation and networking skills.
  • Experience in NGO or membership-based organisations.
  • Experience with social media and tailoring messages to different target audiences and via different channels.
  • Demonstrable understanding of project management methodologies.

  • An initial 1-year contract with possibility of extension aligned with project funding.
